Getting the Application

The Android release of the CLWRota app is compatible with most mobile devices running Android 4.3 (Jelly Bean) onwards. It can be accessed here, or by searching for “CLWRota” on Google Play. An iOS version for Apple mobile devices is also available.

Logging in

Android Login

When opening the app for the first time, you will reach a login page. The server is a version of the URL you use to access the full CLWRota website appended with '/app' (i.e. for https://example.clwrota.com the server would be example.clwrota.com/app), your CLWRota username and password remain the same.

Tap the ‘R’ icon in the top-left of the screen, or swipe inwards from the left hand side to reveal the main menu options

To view your own activity, select 'My Rota' or 'My Oncalls'. To see activity across your department, select 'Locations', 'Oncalls' or 'People'.

Throughout the app you can navigate forwards and backwards to view different days or weeks by swiping the screen left and right. You can also tap on the date at the top of the screen to bring up a date picker that allows you to jump directly to any particular week.

Swiping downwards will manually refresh the page if you have an internet connection. The rota can still be accessed through cached data if you re-open the app without a connection, but the information may be out of date as a result.

My Rota

My Rota shows your activity for the current week.

Android My Rota

Session information displayed includes the location, session title, speciality and any other anaesthetists included in the session. If a note or marker has been attached, it will be displayed here as an icon. The rings around each session are colour-coded in the following way:

  • Grey: standard
  • Red: uncovered
  • Yellow: solo (trainee-led)
  • Dark Green: extra
  • Blue: external locum
  • Grey: cancelled
  • Purple: consultant mentoring a trainee in another location
  • Light Green: This session is additional activity to another duty

My Oncalls

My Oncalls shows your oncall activity one week at a time.

Locations

Locations provides an overview of all activity across the department, ordered by locations. The Filters icon in the title bar allows you to restrict this view to a certain group of locations only.

Oncalls shows who is allocated for each of the oncalls for the selected day.

People

People shows activity for each consultant and trainee in alphabetical order, so you can see where your colleagues are working. Like the Locations view, you can use the Filters icon to show only certain groups of people.

Detailed session information

You can tap on any session to view further details, including session and PA values and any notes the administrator has attached. If other anaesthetists working in the session have chosen to make their contact details public (which you can do in the Profile tab on the full site), you can contact them with the ‘Call’ link against their name.

Messages

The Messages page lists all messages that you have received through CLWRota, beginning with the most recent. You can tap into each message to view the full content: they may contain information about late changes to your activity, approval or rejection of your leave requests or custom messages from administrators. Unread messages will be marked with a green circle.

You can also send a message to the department admin team from the app by tapping the menu icon, and then choosing 'Send message'. Any messages sent this way will be viewable by anyone with an admin login.

My Leave

The 'My Leave' page provides an overview of all of your upcoming leave requests. You can tap on each one to view the details.

Depending on the state of the leave booking, you may be given the option to perform certain actions. For example, if it is an unsubmitted draft request, you have the option to submit or discard it, and if it is an approved booking you can request to cancel it.

You can also make new leave requests through the app by tapping the menu button in the top-right and selecting ‘Request leave’ (see below).

Selecting the 'Request leave' menu option allows you to create and submit a new leave request. Here you can pick the dates and sessions for which you would like to request leave. Select the type of leave and add a comment, then tap ‘Next’. This will take you to a screen showing the impact of the leave, where, as above, you can choose to either submit or discard the request.

Please note that the ability to make leave requests through CLWRota is conditional on your department’s configuration.

Tap the menu icon in the top-right of the screen to reveal some further options.

Settings

Settings allows you to log in with a different username and password, as well as connect to other department rotas that you may have access to.

Contact

Contact provides you with quick links to directly email your rota co-ordinator or the Rotamap support team.

Summary

Summary shows you an overview of how much leave you have taken and have remaining, and the number of sessions you have worked compared to anticipated delivery. You can find a more detailed analysis under the Reports tab on the full site.

Help

Help provides a quick guide to navigation, the colour coding on the rota, and other useful information.
